Refresh Program

Background

The refresh program at CSU Channel Islands began in 2007; support and funding has been provided at the administrative level. The program is intended to upgrade all computers used in classrooms and labs, as well as faculty/staff computers. The goal of the program is to ensure that the campus can maintain a state-of-the-art infrastructure to help foster student learning and maintain efficient administrative functions, and to replace all computers every three to four years depending on funding and the condition of the system.

The Process

Technology & Communication manages a master inventory list for all computers purchased with university funds. In late summer, when funds have been identified and earmarked for the Refresh Program, this inventory list is reviewed for out of warranty computers. All lab/faculty/staff computers that are out of warranty are eligible for inclusion in that years’ refresh program.

Faculty and staff with out of warranty computers are eligible for one computer from the Refresh Program. If an employee has more than one computer assigned to them, and one of those computers is still under warranty, then they are not eligible for the Refresh Program. If an employee has more than one computer assigned to them, and all assigned computers are out of warranty, the employee is eligible to receive one replacement computer from the Refresh Program.

Use of Computers Retired from the Refresh Program

Each fall after campus computers on the refresh program have been upgraded, T&C technicians will identify any computers that are considered in good enough condition to be refurbished and re-assigned to employees. These systems may be too old to be used as a standard computer complement, but are in good enough shape for many other applications. These computers are formatted and reloaded with some basic software, including virus protection. Monitors may or may not be available, but will be included if available. The user is responsible for all data placed on a refurbished computer and T&C will not recover any information on these systems. Support for these systems will consist of T&C staff re-imaging the computers back to the original state, if possible.

Computer Configurations

CSU Channel Islands currently purchases computer from Lenovo and Apple. The campus has a desktop and laptop configuration from both computer manufacturers as outlined below.

Computing needs by employees that are not met by the campus configurations standards outlined below will need to be completely funded outside of the Computer Refresh Program. Funding from the Computer Refresh program cannot be credited towards the purchase of a non standard computer.

External hardware that is not part of the campus computer configuration(such as external hard drives, extra monitors, etc.) can be purchased for use with a Refreshed computer, but will not be considered until after the refreshed computers have been configured and delivered to the employee. Costs will need to be paid by the requesting department. Replacement of internal components in a Computer Refresh computer (hard drives, memory) is not allowable.
