Employee Absence & Time Reporting Online

Effective with the January 2014 pay period, paper timesheets (634’s) for CI employees are no longer needed in most circumstances; a few exceptions are listed below. In lieu of paper timesheets, absences must be reported via the Absence Management (AM) online system. Deadlines for entry and approval of time are noted on the Payroll calendar available on the web at http://www.csuci.edu/hr/payroll.htm. The Absence Management process guide and training videos are available at http://www.csuci.edu/hr/absencemgt/index.htm.

The following is a comprehensive list that includes several scenarios that might not apply to your particular unit. If you have any questions regarding which scenarios may apply, please contact your department timekeeper or Payroll Specialist.

Paper timesheets MUST STILL BE submitted for the following:

  • All part time non-exempt employees
  • Public Safety employees excluding MPP’s
  • Separation
  • Leave of Absence
  • Entries approved after the AM calendar is closed for the pay period for which time is reported. (AKA a retroactive timesheet.)
  • Entries made to amend absence reported in a previous pay period
  • Retroactive timesheet

Paper timesheets are NO LONGER required when reporting the following, however supporting documentation must still be submitted:

  • Shift Differential Attendance Report
  • Authorization for Extra Hours Worked when reporting overtime for pay (not CTO)
  • Departmental Dock Notice – Due by Payroll Cutoff as noted on the Payroll Calendar
  • Alternate Work Schedule Calculator – submitted only when a holiday falls on a regular day off
  • Confirmation of Appearance for Jury Duty
