The Spring Semester before a program is up for review, you will receive a reminder from theAVPof Academic Programs and Continuous Improvement (APCI) or the Faculty Director of Assessment and Program Review (FDAPR) encouraging you to begin planning for writing the Self-Study.

Phase 1: Initiation (Fall prior to Program Review)

  • Communication from theAVPAPCIorFDAPRto start program review.
  • Program chair/director/coordinator informs program faculty, sets up the self-study working group and plans the program review process.
  • If the program identifies a contact person to write the self-study who is not the chair, be sure to alert theAVPAPCI.
  • If you would like to ask for support (reassigned time or stipend) for faculty writing the self-study ask your Dean.

Phase 2: Planning, Data Collection, and Assessment (Spring prior to Program Review)

  • Reach out and schedule a meeting with Institutional Research (Matt Zivot – matthew.zivot@csuci.edu).
  • Program identifies, compiles, and analyzes data for self-study.
  • Program identifies Program Learning Outcomes (PLOs) to be assessed and identifies, compiles, and analyzes direct assessment data for how students are doing at meeting thePLOs.
  • Program identifies external reviewer(s) and communicates with Dean for approval.
  • Some programs reach out to reviewers to determine whether they are willing to serve as a reviewer prior to submitting their name to the Dean.
    The Dean will want a list of the reviewers with their contact information and current CV to make a decision about who to invite for the external review.Invitations to reviewers will be sent from theAVPAPCIorFDAPR.

Phase 3: Self-Study (Fall semester)

In the first semester of program review, typically Fall, the Program will complete their data compilation and draft the Self-Study Report.

  • Program drafts self-study using the Program Self Study Template (PDF, 133KB).
  • Program presents draft self-study for faculty feedback and revises self-study reportifnecessary.
  • TheSelf-Study report is sent to the Dean,AVPAPCI, Faculty Director of Assessment and Program Review (FDAPR), for feedbackand revisedifnecessary.
  • The final version of the Self-Study report is sent to theexternal reviewer(s) by the Faculty Director of Assessment and Program Review.
  • Programprepares the external review schedule.

Phase 4: External Review and Final Report (Spring semester)

The second semester of program review (typically Spring) begins with the external reviewer(s) coming to campus to review the Program. They submit a written report shortly after their visit that is reviewed by the Program, as well as appropriate administrators. The Program uses this report to draft their final Action Plan (formerlyMOU) by the end of the second semester, which will identify goals and foci for the Program for the handful of years before the next program review cycle.

  • Reviewer(s) review self-study prior to campus visit.
  • Program sets up dates for campus meetings with Dean and Provost.

  • Reviewers visit campus.
  • Chair/Contact person is responsible for compiling the schedule for reviewers. Here is an example schedule to help you get started - Examples for External Review Schedule (PDF, 54.5KB).
  • Reviewers submit written report using the External Review Template (PDF, 173KB) to theAVPAPCIwho will then share it with Program faculty, Dean,FDAPR, and Provost.

Phase 5: Action Plan Report (Spring semester)

  • Dean provides written feedback after the external visit.
  • Program and Dean meet to discuss external report and Dean feedback.
  • Program drafts action items for Action Plan (MOU) using the template Program MOU Action Plan Template (PDF, 55.6KB).
  • Program faculty discusses action items and drafts Action Plan (MOU).
  • Program chair sends draft Action Plan (MOU) to Dean, Provost,AVPAPCI, andFDAPR.
