March 12, 2020

Dear Colleagues,

Guidance has been provided by the Chancellor’s Office to assist campuses in making decisions about whether to continue, cancel or reschedule an event or meeting to be hosted by the campus.

Effective immediately, CSUCI will not hold events with an anticipated guest count of 100 people or more through May 1.

Each planned event expecting less than 100 guests will be evaluated on a case-by-case basis to determine whether it is essential and should continue as scheduled, be rescheduled, or be cancelled. Factors for evaluating the cancelation or postponement of events, as provided by the CSU, include alternative modalities, the necessity for travel, susceptibility for the audience to be at an increased risk for COVID-19 infection, as well as guidance from the Centers for Disease Control and Prevention (CDC), California Department of Public Health (CDPH) and Ventura County Public Health (VCPH).

For divisions who have not started the assessment of their division-sponsored events, we are asking that event requestors complete the event review document and submit to their Divisional Vice President or Provost as well as Conferences & Events. Conferences & Events will not proceed with any event support until the event review document has been completed and approved by the area’s Divisional Vice President or Provost.

As events are being considered, Conferences & Events can provide guidance on event layouts and collaborate with Information Technology Services to provide advice on what types of virtual opportunities may be available for the event.

We ask that you please have patience as we update the University’s events calendar to accurately reflect these changes. We anticipate that current guidance on events will be reevaluated on or near May 1.

However, should this information change, we will let the campus know as soon as possible.

In the meantime, please reference the campus COVID-19 website for more information pertaining to the latest information, resources and a list of frequently asked questions.

Sincerely,
Conferences & Events
