Starting July 1st, 2016, we will be replacing the 3-digit department codes with a 6-digit alpha-numeric code chosen by the divisions (exception: Academic Affairs) for transactions. This will be a 1 to 1 mapping, meaning the old 3-digit department codes will be given exactly one new 6-digit code. Why the change?

CI has outgrown the 3-digit department codes that were first implemented back in 2002, and we need to revamp our current schema.  The original department numbers had a smart logic where the first digit represented the division. Due to our growth and restructuring, this logic no longer exists. Division units are also not in order numerically, making reporting by sub-units difficult.  By expanding to a 6-digit alphanumeric numbering system, divisions will have the ability to plan their department in line with their growth by using subdivisions or units.

How the new department structure will look

Below is a graph illustrating how the new 6-digit department codes will look. We used Information Technology Services as an example.

As you can see in our example, the new schema allows for divisions and sub-divisions to be identified as part of the schema. For instance, 710001 describes the division (Information Technology Services), the unit (Information Technology Services), and the department (Maintenance).
