Property Process
Each college, school, and department has the responsibility for the custody, care, maintenance, records, and control of all property acquired. The designee shall maintain current records and initiate the appropriate actions to inform Property of all transactions so that responsibilities are properly carried out. Warranty information and supporting documentation are to be maintained by the responsible department.
* Surplus visits are available by appointment only. Non-authorized staff is prohibted without prior approval by the Property Clerk. The items are used, may have some blemishes or damages. Available on a first-come basis. Holding of items is based on prior approval by the Property Clerk. *Dumping of equipment is prohibited. Please complete the survey form for proper disposal. *Property movement without following the property procedure will cause your department to be charged with “missing property” when Property conducts a physical inventory. Property movement or transfer to another department requires completing a property form. *Campus moves are now partnered with University Events (UE). The Property Clerk coordinates the moves with the University Events Labor Lead. The completed property forms are sent to UE weekly. UE requests a 15-business-day notice for move requests. *For ease of furniture and equipment moves add photos of the item to be moved or use the below template when sending the Adobe Sign workflow. Survey Request Form (from Office to Surplus)

Description of this form and it’s function: This form is to be used for disposition of campus property. The department completes a “Property Survey Request" form stating the reason for the disposal, description of the item, CI tag number, funding used, and serial number. Requester sends the form for signatures (requires approval from department signature authority, EO 1000) via the below Adobe Sign workflow. Transfer Request Form (From Surplus to Office)

Description of this form and it’s function: This form is to be used for surplus to department transfer or inter-department or temporary staging. The warehouse may temporarily hold furniture for later use by the department contingent upon space availability. The department completes a “Property Transfer Request" form with a description of the item, CI tag number, serial number, and the location(s). Requester sends the form for signatures (requires approval from department signature authority, EO 1000) via the below Adobe Sign workflow. Property Incident Report Form (lost, stolen or unfound equipment)

Description of this form and it’s function: This form is to be used when University property has been lost or stolen, the individual or department accountable for the property must immediately notify the Campus Police and Property. Please complete the form within 72 hours of the incident. The department completes a “Property Incident Report" form stating the item needing to be reported.
