For Students

Do I need my Social Security Card (SSC)?

It is required that you present your Social Security Card to satisfy California State Controller’s Office payroll requirements. You will need to present an original, non-laminated Social Security Card.

I am in the process of recieving a replacement Social Security Card, can I start working?

We will need to see the reciept that your replacement card is being mailed to you. We are able to use this as a placeholder to clear you to work while you recieve your replacement card. 

Can I put my dorm room as my mailing address?

Yes, but please make sure to complete a Change of Address once you leave the dorm at the end of the year or semester so that your W2 is mailed to the correct location.

Can I have more than one on-campus position?

Yes, but you must keep track of your hours as you cannot work over 20 hours a week total between all positions during the fall and spring semester. During Winter, Spring, and Summer Break you cannot work over 40 hours a week.

When do I get paid?

As a student assistant, you get paid on the 15th of every month. If the 15th lands on a weekend, you will be paid the Friday before. For specific dates, please refer to the Payroll Calendar.

For Hiring Mangers

When can the student start working?

An HR Coordinator will send an email once the student completes onboarding and is cleared to start working. Students should not be working before this email is sent. Students may also not work before the date listed on the requisition.

If the student completes onboarding before the date on their requisition, HR will ensure to state the first date of the requisition as the date they are cleared to start working.

Can an International Student work on campus?

Yes, international students who are able to provide required documentation showing their ability to legally work in the United States may work on campus. For a list of common required supporting documents, please see I-9 Acceptable Documents webpage.

All students are required to show a Social Security Card (SSC) to satisfy California State Controller’s payroll requirements.

Can a non-DACA student work on campus?

At this time students who are unable to show proof of eligibility to work in the United States (via a Social Security Card) may not work as student employees on campus.

How do I access my student assistants’ timesheet?

Log onto MyCI > Click on the "CHRS" tile > Use the following Guide on Approving Payable Time.

If you can’t find the “Manager Self-Service” option under CHRS, please submit a ticket through our Service Catalog.
