How to Guides/FAQs for navigating through CSU Learn for employees and managers

Note: These courses are taken through our CSU Learn system and can be completed at an employee's workstation. Courses will be assigned during the first month of new employment (faculty, staff, management and student employees). Supervisors should schedule approximately 6 hours for a new employee to complete assigned courses and are expected to follow-up with employees to ensure completion.

For current employees, required courses are continuous, and timely completion (within 30 days of automatic reminder notification) is expected throughout employment at CSUCI. Course completions will display in 24 hours, after nightly batch updates in CSU Learn.

  • Required attendees: Auto assigned to all MPPs/Administrators.

    Frequency: Within six (6) months of hire or assumption of supervisory responsibilities; every two (2) years thereafter.

    Course Description: As required under California Assembly Bills 1825, 1343, 1300, 778, 188 supervisors must identify, discourage, eliminate, and remedy any illegal discrimination, harassment, or retaliation that they know of or simply suspect. Carrying out this responsibility requires a thorough understanding of anti-discrimination laws and harassment itself so that supervisors can address problems effectively. Knowing the development and purpose of these laws provides a solid foundation for understanding them.  CSU Executive Orders 1096 and 1097. For additional information contact Human Resources.  

  • Required attendees: Auto assigned to all non-MPPs or non-Administrators who do not qualify as a supervisor.

    Frequency: Within six (6) months of hire; every two (2) years thereafter.

    Course Description: This course is designed to raise awareness about workplace harassment and discrimination, and to reduce or prevent incidents of misconduct. Using engaging exercises and real-world examples, the course fosters a clear understanding of anti-discrimination laws. It trains employees on inappropriate conduct so that they can apply what they learn to everyday situations.   • Required attendees:  Auto assigned to all employees.

    Frequency: When WVPP is first established, and then annually. When a new employee joins CSUCI. Whenever a new or previously unrecognized workplace violence hazard has been identified and when changes are made to the plan. The additional training may be limited to addressing the new workplace violence hazard or changes to the plan.

    Course Description: California Senate Bill 553 caused the California Labor Code Section 6401.9 to be enacted. While there is no Cal/OSHA regulation as yet, the labor code requires that starting July 1, 2024, the majority of employers in California must establish, implement, and maintain a Workplace Violence Prevention Plan. Labor Code section 6401.9

    -Preventive measures
    -Personal conduct to minimize violence
    -The Violent Incident Log
    -Seeking assistance and reporting
    -The specifics of the Workplace Violence Prevention Plan including what it contains and how it should be used

  • Required attendees: Auto assigned to all employees.

    Frequency: Within six (6) months of hire; annually thereafter.

    Course Description: This is a CSU customized on-line program that provides practical learning for identifying, reporting, and preventing campus sexual misconduct, as well as assisting victims of sexual assault in accordance with Title IX. Interactive case studies and videos provide engaging educational content that explains how to respond to known or suspected sexual violence, which includes sexual assault, dating violence, domestic violence, and stalking. Required under CSU Executive Order 1095. For additional information contact Title IX.

  • Required attendees: Auto assigned to all employees.

    Frequency: Within 30 days of hire; every three (3) years thereafter.

    Course Description: Federal and California Regulations require new employees attend the Injury and Illness Prevention Program (IIPP). This course will introduce employees to the eight elements of California State University (CSU) IIPP. The CSU Channel Islands IIPP establishes a proactive safety program to inform the employee of safety precautions necessary to prevent or minimize hazards, injuries and illnesses.   • Required attendees: Auto assigned to all employees. Specifically for employees with access to protected data and information assets.

    Frequency: Within 30 days of hire; annually thereafter.

    Course Description: This course raises awareness to the importance of keeping private data secure. The course also provides steps that employees can take to help maintain the security and confidentiality of private information. The Family Educational Rights and Privacy Act (FERPA) guarantees both the confidentiality of students' education records and students' right of access to their own records. Staff need to understand what FERPA requires and what it forbids. For additional information contact Information Security.

  • Required attendees: Will depend on employee's position.

    Frequency: Annually

    Course Description: Laws and regulations mandate many types of learning regarding occupational safety, hazardous materials use, and pollution prevention. Your supervisor or the office of  Environmental Health & Safety and Risk Management  can tell you what types of learning and development are required for your position.

  • Required attendees: Assigned to CSU/AUX employees who will be driving powered carts.

    Frequency: Every four (4) years

    Course Description: Participants will become familiar with operations, functions, and rules regarding powered carts. **Note, CI Driver registration required with this course. Please contact the Risk Management office.

  • Required attendees: Assigned to CSU/AUX employees who will be driving University (state) or their own vehicles for state business.

    Frequency: Every four (4) years 

    Course Description: The content in this course is designed to comply with the intent of the applicable regulatory requirements – specify concerns to be addressed before and while driving, use safe driving techniques to avoid collisions, drive safely in various weather conditions, and respond to specific driving emergency situations.

    **Note, CI Driver registration required with this course. Please contact the Risk Management office.

  • Required attendees: Assigned to COI designated employees, Principal Investigators, employees who have been issued a ProCard.

    Frequency: Within first 6 months of role; every two (2) years thereafter.

    Course Description: The purpose of conflict of interest laws is to prohibit public employees from personally benefiting at the expense of public interest.   • Required attendees: Assigned to Campus Security Authorities (CSAs) and select employees.

    Frequency: Annually

    Course Description: The Clery Act is a consumer protection law that aims to provide transparency around campus crime policy and statistics. This course educates employees about the laws that mandate reporting requirements. For additional information contact Title IX.

  • Required attendees: Assigned to Employees designated to accept complaints​ of unlawful discrimination.

    Employees or volunteers whose duties require direct contact with and supervision of minors in the performance of the minors' duties in the workplace.

    Additionally, administrators, employees, and regular volunteers whose duties require direct contact with, or supervision of, children may also be required to complete Mandated Reporter training.

    Frequency: One time for required position categories (EO 1083) and strongly encouraged for all others.

    Course Description: The California Child Abuse and Neglect Reporting Act, California Penal Code §§ 11164-11174.3 ("CANRA" or the "Act"), identifies certain groups of employees as "Mandated Reporters" of child abuse and neglect, and also imposes various obligations on and extends certain protections to those Mandated Reporters as well as their employers.   • Required attendees: Auto assigned to all employees.

    Frequency: Within 30 days of hire; every three (3) years thereafter.

    Course Description: The course will discuss various topics related to safety, emergency preparedness, and emergency response options. While you may not consider yourself a “responder” in the traditional sense, personal preparedness and campus safety are everyone's responsibility, and our goal is to empower as many CSU community members as possible to feel equipped to take action during an emergency situation. Be aware that specific protocols and processes may differ between campuses. We will be discussing these topics in broader terms, but it is important to learn any unique considerations for your campus and workspace.
