Preparing for Your First Day

Upon your job offer acceptance, depending on your position, you should have received a welcome and congratulatory email from your department, giving you specific information about your new position and an overview of your first day.  HR provided you with the link to the New Employee Check-in webpage which holds the new hire documents that you are required to complete and provides links to the other new employee webpages as well.

Federal law and CSU policies require that your Employment Eligibility Verification forms (INS Form I-9) be completed no later than close of business on your first day of work.

To facilitate the sign-in process, please complete the online fillable documents in advance of your first day and bring the printed copies with you to Human Resources, Lindero Hall,First Floor - Room 1802. If you do not have access to a printer, feel free to copy them onto a thumb drive and your department can help you print them. Blank forms are available at HR for those new employees who do not have access to a computer or would prefer to complete forms by hand.

You will also be required to demonstrate your identity and your eligibility to work in the United States in accordance with the Immigration and Reform Control Act. Acceptable documents that establish identity and employment authorization can be found on the I-9 Employment Eligibility Form in the New Employee Sign-In Packet. Please bring the required original documents with you on your first day.

What you will need to bring

  • It is required that your name and Social Security Number are reported exactly as stated on your Social Security card to the Internal Revenue Service and California Franchise Tax Board. This satisfies California State payroll requirements. To help expedite this verification processes please bring your original, non-laminated Social Security Card to your in-person sign-on. If you do not have your original card please advise us at the time of sign-up. Prior to completing the in person sign-in, you can request a new card from the Social Security Administration. Go to your local office.  They will issue you a receipt that indicates you have ordered your card.  Bring this with you to Human Resources. This receipt will allow us to have you start work.  However, we will not be able to process your paperwork on to Payroll until you bring back your card, once you have received it.
  • Documents that demonstrate your identity and your eligibility to work in the United States to meet legal requirements of the Immigration and Reform Control Act. Documents that are acceptable to provide employment authorization may be found here: INS Form I-9 Acceptable Documents (MS Word, 1.5MB) .
  • Your new employee paperwork that you filled out on-line, or your thumb drive with your documents completed, so that Human Resources can print them out for you.

Where do I park?

You may park in any “A” Lot. For your first day, prior to obtaining your employee permit, be prepared to purchase a day permit from any of the permit machines for $6.00. The machines accept coins, $1, $5, $10 & $20 bills. The dispensers give change in $1 coins. All permit machines accept Visa & MasterCard. Campus maps include parking lot locations.


New Employee Processing

In Human Resources (Lindero Hall, Room 1804) you will:

  • Submit your New Employee Sign-In Packet and provide documents for your I-9 Employment Eligibility.
  • Obtain an Employee Verification Status Form to take to Parking Services (Placer Hall) and obtain your parking permit, if you intend to park on campus.

Benefits Orientation Information

If you have a benefit-eligible appointment, you will receive a separate email from a Benefits Representative regarding the In-Person and Online Benefits Orientation options to learn about CSU’s benefit plans. You will have 60-days from your hire date to fill out and return the enrollment forms found in your benefits packet or online from the HR Orientation webpage. Report to your Department

Once you have completed your paperwork with Human Resources, you will report to your department where you will:

  • Be introduced to your new team members and have an office tour.
  • Meet with your supervisor to review and discuss:
    • the department's organizational structure
    • your duties and responsibilities, obtaining job aids to assist with specific tasks
    • goals and priorities for the first quarter
    • your work schedule including lunch and breaks
    • your required training
    • time reporting and leave request procedures
    • pay day & pay warrant retrieval
    • and much more
